Trinity Stars Wraparound Care

It is important that you let us know if your child is absent from school or cannot attend a booked session.  You must notify both school and Trinity Stars that they will not be attending.

 

  • For school absence, please report your child’s absence in the normal way by sending a message via StudyBugs or telephoning the school. 

 

  • For Trinity Stars absence, please report in every day they are not attending via Trinity Stars Wraparound 07729 422941.  Lines are only open 7.30am - 9.00am and 3.30pm - 6.00pm.  This number is not manned during the day and is not for general queries.  For any queries please email trinitystars@welearn365.com.

Holy Trinity Primary’s school day runs from 8:50am to 3:35pm (Juniors) and 9:00am to 3:30pm (Infants). Trinity Stars Wraparound Care is not a club. It runs every week during term time, including the first and last weeks of term, and provides breakfast and afterschool wraparound for children in Reception to Year 6.

Session timings and costs

 

Breakfast wraparound:

7:30am until 9:00am                            £6.00 per session per child

Afterschool wraparound:

3:30pm until 4:30pm (early)              £5.60 per session per child

3:30pm until 6:00pm (full)                   £14.00 per session per child

4:30pm until 6:00pm (after clubs)    £11.20 per session per child

Bookings

 

Please visit magicbooking, our new online booking system for Trinity Stars Wraparound care.

 

The new system gives you immediate, online access to your account, children’s information, bookings and payments. This will include being able to make changes and ad hoc bookings rather than waiting on us to action and confirm these for you and the ability to create payment receipts. This system allows parents to choose how they pay and how often they pay.

 

 

Children's current places are not automatically carried over into each new term or new school year but we can confirm we do not have any children on waiting lists for Trinity Stars and have spare capacity in all the sessions.

 

While we do currently have spaces, we recommend to guarantee your bookings, you do so as quickly as you can and in as much advance as you can. We do not envisage there being a problem and as sessions become more popular, which we hope they do, we will increase the staffing accordingly.

 

Ad hoc bookings

 

Where possible we will endeavour to support parents in exceptional or compassionate circumstances. Temporary or occasional ad-hoc bookings will be accepted for those who have registered for Trinity Stars Wraparound care as long as there are places available although we cannot accept any ad hoc bookings if parents or carers are in arrears on their account.

 

Breakfast 7:30am - 9:00am (£6.00 per child)

Early afterschool 3:30pm - 4:30pm (£5.60 per child)

Full afterschool 3:30pm - 6:00pm (£14.00 per child)

After clubs 4:30pm - 6:00pm (£11.20 per child)

As the wraparound can run at maximum capacity, children MUST NOT be sent without a confirmed online booking.

Payments

 

As a publicly funded school we have a no arrears policy so all payments MUST be made in advance. If there are persistent arrears, the place will be withdrawn and your child will not be able to continue to attend the provision. Parents / Carers will still need to pay the outstanding balances in full.

 

As long as fees are paid a minimum of a month in advance, we are flexible to allow for fees to be paid monthly. Parents can choose a monthly instalment plan. See our FAQs below for more information.

Extra funding available to help with fees

 

If you’re on Universal Credit and in work, you can use its childcare element to pay for some of your childcare costs while you go to work. Eligible parents may be able to claim back some their childcare costs:

  • up to a maximum of £951 for one child
  • and £1,630 for two or more children
  • for children up to the age of 16

 

If you’re on Tax Credits, you can claim the Child Tax Credit until the next 31st August after your child turns 16.

To help you evidence and reclaim childcare costs through Universal Credit our registration number is Ofsted URN: 125681 - Holy Trinity CofE Primary School, CV37 9QN.

 

You will easily be able to generate a statement for specific dates through any bookings made and paid for through magicbooking.

With Tax-Free Childcare, the government will pay £2 for every £8 paid into an account, which can be used against payment for ‘approved’ childcare provision (childminders, nurseries and nannies; before and afterschool clubs and holiday clubs)

 

Eligible parents are:

  • UK working families, including the self-employed, earning under £100k and at least £139 per week (equal to 16 hours at the National Minimum or Living Wage)
  • Who aren’t receiving Tax Credits, Universal Credit or childcare vouchers (TFC replaces childcare vouchers)
  • With children aged 0-11 (or 0-16 if disabled)

 

Eligible parents can receive a top up of up to £2,000 per year per child

  • until 1st September after your child turns 11
  • or 16 for disabled children who you can claim up to £4,000

If you are paying by tax-free childcare, log into your tax-free childcare account and from there, pay Holy Trinity CofE Primary School.

 

We are not notified by HMRC when you make a payment and there is a considerable delay between parents making the payment and it being credited into our bank account.

 

To make sure your account is financially up-to-date, please therefore email trinitystars@welearn365.com with your reference number in the subject and the amount and child/children's name in the message each time you make a payment through tax-free childcare. We will then make the adjustment in your account.

 

If your tax-free childcare does not cover the whole amount, you will need to pay any outstanding fees.

If you are paying by childcare vouchers, when we have received these payments into our bank account, we will make the adjustment in your magicbooking account. Please note, there will be a slight delay for this – different childcare voucher companies make payments to us on different timescales. If your childcare vouchers do not cover the whole amount, you will need to pay any outstanding fees.

Afterschool arrival and departure

 

Children are collected from their classrooms at the end of the school day and taken to their designated area. A signing-in/out sheet is used at the start and when children leave the afterschool wraparound.

 

Children should always be collected by a known, named adult. In exceptional circumstances when this is not possible, to avoid unnecessary delays because of identification checks, please contact us in advance to let us know.

 

The club finishes promptly at 6:00pm each day and children should be collected before 6:00pm. If you are delayed, for whatever reason, please phone to let us know as soon as possible. Late pickups will be charged at £5 per quarter of an hour for the staff time who have to remain late.

Food

 

Food is included in all but the early afterschool session (i.e. breakfast, after clubs and the full afterschool session). Children are encouraged to serve themselves, possibly try new foods and to tidy up after they have eaten.

Illness

 

If a child becomes ill whilst in our care, we will telephone the Parent/Carer in the first instance to inform them of this. If we are unable to get hold of them we will then call their nominated ‘emergency’ contact to collect them. Please make sure that your contact details are always up to date.

Behaviour

 

We are committed to maintaining high expectations of good behaviour.  This is an essential contribution to the enjoyment of the children while attending Trinity Stars wraparound.  We follow the school’s policies and procedures in relation to behaviour.

Child Protection

 

We comply with local and national child protection procedures and ensure that all staff are trained in Safeguarding and have an enhanced DBS certificate.  The designated person for Safeguarding and Child Protection is the Trinity Stars Coordinator. How do I make a booking?

  • If you have fully registered an account for yourself and your child(ren), visit magicbooking and choose the first session type you would like to book (e.g. breakfast). Follow the steps through using the Help? section at the top if you need help.
  • Once you reach the Booking Recap, if you need another session type, click Add another activity and follow the steps through again.
  • Finally, choose your payment options to submit your booking.

 

How do I provide proof of payment to local government agencies or other parties?

  • You can easily generate a statement for specific dates from Account > Payment Proof on the parent site.
  • From here, select the Activity, Payment Type (Card, Childcare Voucher/Tax Free Childcare etc.) and Date Range of the sessions you need payment proof for and click View Statement to generate a statement for these sessions.
  • On the statement generated, you will see the date, cost and Total Paid for each session and can click the Download button at the top to download the statement as a PDF which can then be shared.

 

When are sessions available to book? Our sessions will be published for booking ahead of each school term. We will send you further guidance closer to that date.

 

Can I pay monthly? You will have the option to spread the cost of your booking with a monthly instalment plan. This only applies to booking that last over 34 days, and your payment plan will be of the same duration as the booking. Your payments will be equal every month, making it easy to budget your expenses. This works in a similar way to your utility bills; you pay the same amount every month regardless of how much you consume. The only difference is that there won’t be any adjustment at the end of the period as these will happen in real time; if you cancel or add dates to an existing booking your monthly payments will automatically be adjusted to reflect the cost difference.

 

As a reminder, as stated in the Trinity Stars Admissions and Fee Policy we have a no arrears policy. All fees for Wraparound provision (Breakfast and Afterschool) must be paid a minimum of monthly in advance.

 

I don’t recognise the company on my bank statement. Who are MyPlayService Ltd? magicbooking is owned and operated by MyPlayService Ltd and any payments will appear as such.

 

Can I pay by Childcare Vouchers and Tax-Free Childcare?

  • You can include Childcare Vouchers and Tax-Free Childcare at the point of booking. The system will then give you the balance to pay based on how much you are planning to pay with the tax-free scheme. You will still need to instruct your childcare voucher or Tax-Free scheme to pay us.
  • As Tax-Free Childcare payments and vouchers can take five working days to be received by us, please ensure payments are sent in advance of their due date on your payment plan.
  • Each time each time you make a payment through tax-free childcare, please email trinitystars@welearn365.com with the amount and reference number. We are not notified by HMRC when you make a payment and there is a considerable delay between parents making the payment and it being credited into our bank account. If you email us we can credit your account much faster.

 

How do I use a combination of childcare vouchers and/or Tax-free childcare?

In your booking recap, when asked to choose a provider select the ‘multiple childcare providers’ option.

 

I can’t see my childcare voucher provider listed, what do I do? Please email trinitystars@welearn365.com and we will register with your childcare voucher provider and add them as an option.

 

Am I guaranteed my ongoing wraparound sessions? Why do I have to book in advance? The places you have are not automatically carried over into the term’s booking so you have to book your own sessions each time we open up the new bookings.
